Mobilising for Metrics

The company wants a clear financial justification for investing in PLM, and the PLM Manager wants to provide it.

To achieve this, there needs to be a wide-ranging, collaborative exercise to generate the metrics; and the PLM Manager must lead it. After all, nobody else will. If the PLM Manager does not act, then nothing will happen. How does he or she deal with this responsibility?

For the task of actually calculating the figures, the PLM Financial Handbook [Lite] contains the algorithms, as well as a method of analysis and deconstruction that is easy to understand. This still leaves the question of how to motivate colleagues and senior managers into interviews and meetings, and how to set up a plan that results in a successful justification.

The 'Lite' methodology is very concise, because it is structured around a specific set of required documents that must be produced during the various stages of the process. Templates are provided as part of the toolset, and the development of these documents from outline to completed form drives the process forward.

Managers and colleagues can clearly see the purpose of each document, and the need for them to contribute to each one. As they do so, the spread of awareness and feedback increases, and the plan moves forward. Responsibility for progress has moved from the PLM Manager's shoulders onto the document creation timescale.

Not only does this bring in the necessary contributions of effort from around the company, but it also produces a balanced and detailed input from the vendors involved. Because the process is easy to follow, it can be carried out more quickly; and because the results are compiled within a standard structure, comparisons are much easier to make.

There is more material in the pipeline from the 2013 workshop series, and the full methodology will include formalised tools for working from a 'Validated Vision' through PLM Maturity and PLM Self-Assessment towards the long-term PLM and business aims.

All of these tools will be reviewed and validated at a new workshop that will be hosted by the PLM Institute in Geneva on 01-03 July. The Geneva workshop will focus on the PLM Team's action plan as well as on demonstrating the details of the financial metrics. This means that it will act as a preliminary coaching session for the delegates, so that they can apply the new techniques on their return.

PLM Journey

There are a lot of activities to perform on your PLM Journey.

Learning is the first step of the journey. You may even learn that you don't have a PLM Journey!

Another step of the journey is to understand the problem(s) you are attempting to solve. And what's the cost to you [your company]?

Capture your vision for a solution. If the world were perfect, what might the solution look like? Document your requirements and identify 'must have' and 'nice to have' features.

At this point, you may not even know if this is a document management, product data management [PDM] or product lifecycle management [PLM] problem. At a very high level, here are basic descriptions of each:

  • Document management software - This software allows you to manage documents with some access controls. It may or may not have a workflow component.

  • PDM - This software allows you to manage documents, including CAD files and usually has a workflow component. The workflow component enables you to automate your engineering change control process. This software allows you to manage configurations [relationships].
  • PLM - This software provides all of the PDM features but it can manage all sorts of files found in all of your departments. This allows you to relate files other than just CAD files to your product(s).

There may be as many as 50 software packages that could address your problem(s). The price of software goes up as you get more capabilities, so it is important for you to know what each of them can and can't do.
